These terms govern your use of LettingOS. By creating an account you agree to them. If anything is unclear, ask us at support@lettingos.com before signing up.
The service
LettingOS is a rent-tracking and reminder tool for landlords with small portfolios (typically 3 to 60 units). It is not a letting agency, a tax advisor, or a legal-compliance service. Using LettingOS does not create a legal relationship between us and your tenants.
Your account
- You must be 18 or over to sign up.
- You're responsible for keeping your sign-in credentials secure.
- One account per landlord. Don't share an account across multiple property owners — create separate accounts.
- You confirm you have lawful basis (under UK GDPR) to enter your tenants' details into our system.
Acceptable use
You may not:
- Use LettingOS to harass, deceive or unlawfully chase tenants for money.
- Send reminder emails to people who are not actually your tenants.
- Upload illegal content or content you don't own.
- Attempt to bypass rate limits, free-tier caps, or platform security.
- Resell, white-label or wrap LettingOS as your own product.
We may suspend accounts that do any of the above without notice or refund.
Subscriptions and billing
- Free plan — one tenant, no card required, no time limit.
- Pro plan — £19/month or £99/year, billed in advance via Stripe in GBP. Prices are inclusive of UK VAT where applicable.
- Subscriptions auto-renew until cancelled. You can cancel at any time from Settings → Billing.
- On cancellation, Pro access continues until the end of the current billing period. We do not pro-rate refunds for partial months or unused annual portions.
- Failed payments retry automatically for up to 7 days. If they keep failing, the account drops to the Free plan.
Refunds
We offer no automatic refunds. If you believe a charge is wrong, email support@lettingos.comwithin 14 days and we'll review case by case. Statutory consumer rights are unaffected.
Cancellation and account deletion
- Cancel your subscription at any time via Settings → Billing.
- Permanently delete your account via Settings → Danger zone. This wipes every tenant record, payment, document, note and event tied to your account, and cancels any active subscription immediately. It cannot be undone.
Your data, your ownership
You own everything you put into LettingOS — tenant details, payment histories, notes, documents. We process it on your behalf to provide the service. We do not claim any rights to your data, and we do not use it to train AI models or for any purpose outside running the product.

Service availability
We aim for high uptime but make no guarantee. The service is provided "as is". Scheduled maintenance is announced in advance where possible. We're not liable for losses caused by temporary unavailability — keep your own backups of any critical records.
Liability
To the maximum extent permitted by law, our total liability to you for any claim arising from your use of LettingOS is limited to the fees you've paid us in the 12 months preceding the claim. We are not liable for indirect, consequential, or business-loss damages (lost rent, lost tenants, missed deadlines).
Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any liability that cannot lawfully be excluded.
Changes to these terms
If we materially change these terms, we'll notify active users by email at least 30 days before the change takes effect. Continued use after the effective date is acceptance of the new terms.
Governing law
These terms are governed by the laws of England and Wales. Any dispute that cannot be resolved by talking to us will be heard in the courts of England and Wales.
